What does my CSV need?
A donor name or email, an amount, and ideally a date. Fund, reference, address, and status columns are used when present. Exports from KindLumen and other donation or accounting systems can work when those fields map to the available column roles. Confirm the mapping and review any skipped rows before generating statements.
Is my donor data uploaded anywhere?
No. The file is read and the statements are built entirely in your browser. Only your organization’s letterhead and wording are saved on this device so you can reuse them next year.
Are the statements IRS-compliant?
This tool cannot determine compliance. For US 501(c)(3) organizations, it uses common acknowledgment language based on IRS Publication 1771. Before sending, confirm your organization’s tax status and details, every gift’s date and amount, and whether the donor received goods or services. Ask a qualified adviser to review unusual, noncash, or quid pro quo contributions.
Refunds and failed payments?
Rows with a status like Refunded, Failed, Pending, or Disputed are skipped and listed so you can check them. Negative amounts are included as reductions.
How do I mail them?
Print to paper or “Save as PDF”. Each donor starts on a new page, so a window envelope lines up. To email, print a single donor by typing their name in the filter first.
